Hire Terms & Conditions

Booking Confirmation

A booking is not confirmed until the client has paid a $200.00 Deposit and receives confirmation of the booking form Mirror Memories CQ. By paying the deposit is an acknowledgement that you have read, understand & accept these terms & conditions.


A non-refundable deposit of $200.00 is payable upon booking. The balance of the booking cost is payable a minimum of 14 Days prior to the event. If the balance of the booking costs is not received within 14 days before the event date, the booking can be cancelled & deposit forfeited & Mirror Memories CQ can book another event. If the client requests use of Mirror Memories CQ services in excess of the time noted on the booking form during the event, this will be billed at $150.00 per hour. Each additional hour payable up front in cash only at the time of agreement to the extension of time. Agreement must be in agreeing by all parties including Mirror Memories CQ & the venue. We are not required to stay beyond the original booking time but will take each occasion on a one by one basis.


Requests for changes of the event date/ venue must be made in writing via email to

Cancellations made within 30 days of your event date will result in the client forfeiting all payments made. Mirror Memories CQ can cancel bookings at any time if the client becomes unreasonable to deal with or fails to co-operate. If Mirror Memories decides to cancel a booking, all payments made will be refunded to the client.

Travel Fees

Locations within Rockhampton QLD, including surrounding suburbs will not incur a travel fee.

Locations within Emerald QLD will not incur a travel fee.

Locations outside of the above areas will incur a travel fee of $1.00 Per KM return.

Delivery & Service

Delivery/set up will be taken place 1 hour prior to your hire time & pack up will take place after your allocated Time slot.

Earlier setup time can be arranged in discussion with Mirror Memories CQ and an idle fee may apply.

During the event a Magic Mirror attendant will be close by at all times to ensure smooth running & guidance.

Requirements / Workplace Health & Safety Requirments

The client shall ensure a safe and appropriate environment is provided for Mirror Memories CQ to operate It’s equipment. The client must ensure an area of approximately 3mx3m (Which includes space for our attendant table) and one normal power outlet within 5 meters. If the photo booth is to be set up outdoors, the booth and attendant will require sufficient protection from the elements, in the form of sufficient opaque overhead and side cover on at least two sides, to afford protection from rain, humidity, wind and or sunlight. It will be the clients responsibility to ensure their venue function coordinator or private function coordinator is aware of these requirements and can accommodate them. The client is responsible for paying any charges of fines imposed by the venue, or required to access the venue or excess charges getting to the venue. These charges may include, but are not limited to, parking, electricity, Ferry fees, tolls.

We agree to supply a wide variety of props for our clients and their guests to use at their booked event. We reserve the right to withhold or remove all or certain props from use if the attendant considers they are being damaged, mistreated or continually removed from the booth area.

Safety Precautions/Booth Rules

  • No food, drinks, cigarettes or e-cigarettes on the props/album tables and in the Photo booth area.
  • No chairs or other objects to stand on to be taken into the photo booth area at all times unless allowed by the Magic Mirror attendant
  • Children under the age of 10 to be accompanied by an adult when selecting props & when inside the photo booth area 
  • No props to be removed from the photo booth area

Damage to Equipment

In order to prevent damage to equipment Mirror Memories CQ reserves the right to deny service to any person. If circumstances arise where a threat or implied threat of harm, damage or violence to Mirror memories CQ staff or equipment, Mirror Memories CQ reserves the right to cease providing services. If the client is able to resolve the threating situation within 20 minutes, Mirror Memories CQ will resume services. If the situation is unable to be resolved, Mirror Memories CQ will not resume providing service and client will receive no refund of booking costs. Our security & safety at your event is fully your responsibility at all times. Any damage to Mirror Memories CQ equipment during the client’s event caused by the client, client’s guests or any other person in attendance at the event whether invited or not, will result in the cost to repair/replace the equipment. The client will also be responsible for all financial recovery costs if repair/replacement costs are not paid within 7 days from date of invoice. The client is fully responsible for our security & safety while attending your event that includes during set up & more importantly the pack down at the end of the contracted time frame among any intoxicated guests & covers our staff, equipment & vehicle until we have left the venue premises.

Use of Images

The client gives permission for all photos taken during the event to be used on Mirror Memories CQ Website, Social media & other promotional material. We will remove images if requested in writing to We will also comply with not displaying any images upfront if notified in writing prior to event. Mirror Memories CQ will not use images which are deemed unsuitable for media and or advertising and will not use any content that me be personally damaging to any person/s.

Force Majeure

Mirror Memoires CQ will not be liable for failing to perform/attend your event under the agreement by the occurrence of any event beyond our reasonable control, including a labor disturbance, internet outage or interruption of service. Communication outage failure by a service provider, fire, threatened or actual act of terrorism, natural disaster, or war. If such circumstances arises, Mirror Memories CQ will make all reasonable efforts to provide a service. If this is not possible, the client will receive a refund of partial or all payments received by Mirror Memories CQ for the booking at our discretion depending on the circumstances. The client agrees that in all circumstances, Mirror Memories CQ liability is limited to the booking cost and not be liable for indirect or consequential damages.

Magic Mirror Attendant/Staff

Attendant/staff are to be provided with a supplier meal & nonalcoholic beverages at all evening bookings regardless of time of 4 hours or more to the same standard as the guests of the function.
